General Responsibilities
The Facilities Coordinator supports multiple departments by coordinating vendor communication, facility maintenance needs, and freight/logistics inquiries. This role is ideal for someone highly organized, tech savvy, and comfortable juggling tasks that impact several teams and locations. The position is mostly remote with occasional onsite support.
Primary Duties

Contact vendors to obtain and confirm ship dates and provide general purchasing support

Serve as the facilities maintenance coordinator by scheduling repairs, tracking progress, and communicating with internal teams and external service providers

Act as the primary point of contact for freight and logistics questions from sales and purchasing teams

Coordinate with freight and duty brokers to ensure smooth transport and compliance

Manage high volumes of phone calls and emails with accuracy and professionalism

Prioritize tasks across multiple departments and locations to ensure timely follow through

Maintain organized records, updates, and communication logs

Support the VP of Operations with administrative and coordination tasks as needed
Requirements
Skills & Experience

No prior experience required — full training provided

Strong computer skills and ability to learn new systems quickly

Excellent memory retention and ability to track multiple moving parts

Comfortable making frequent phone calls and managing email communication

Strong organizational skills and ability to prioritize across departments
